New-Student Email Template

Hello Instructors,

the graphical email below can be edited by you and used for quickly getting a new student started with all the little things they have to complete prior to their first lesson.

All you have to do is:

Highlight and copy all of the email below starting at the “TEMPLATE BEGINS HERE” line (yes, pictures and all), through the “TEMPLATE STOPS HERE” line
then copy and paste it all into an email to your new student.

Once it’s in your email, you can edit the text to customize for your specific student and send it. For example, perhaps your student doesn’t need a headset? Maybe they already signed up for IACRA? Just delete those parts and move on.

Consider this a sort of New Student ATIS. It’ll keep you from having to rewrite the same things over and over to each student.

Welcome Fellow Aviator!

First of all, I want to personally thank you for choosing Independence Aviation.

As your primary instructor, you can count on me to guide, monitor, and challenge you throughout the entire process.

You will participate in a combination of home study, ground school, and flight training with me. Then, as you near the end of the course you’ll do some solo flying during which you’ll be assigned specific tasks to perform all on your own.
All of which is required by the Federal Aviation Administration.

There are many steps to this process and this email serves to get you going right away with the first few steps. Consider what follows in this email to be your first homework assignment. Please try to complete the items on the blue-colored background before we meet for your next lesson.

Your “Get Started” Checklist

1. POLICIES AND PROCEDURES ACKNOWLEDGEMENT

If you haven’t already, please print, read, and sign IA’s Policies and Procedures document on our website here. When completed, you will need to provide this to our Customer Relations Manager, Annmarie.

2. GROUND SCHOOL ONLINE COURSE

At IA, you will use the Sporty’s “Learn To Fly Course” syllabus and video series. You will need to go to their website to purchase at minimum the
Private Pilot Test Prep (Online, App, and TV) course.

While you are on that webpage, notice that they offer an option for their “Deluxe Learn To Fly Kit – Foreflight Edition”. While not required, you will eventually find yourself purchasing most of the items that already are included for you in that kit, such as the flight calculator, plotter, and digital aeronautical charts.

Please consider investing a little more now if you can by purchasing that Deluxe Kit.

3. IACRA

Integrated Airman Certification and Rating Application

Sign up for a free IACRA account here. This is the FAA’s official website used to apply for your Student Pilot and Private Pilot Certificates. You will need a Student Pilot Certificate Prior to flying an airplane solo. Once you have an account, I will personally walk you through the process of applying for your Student Pilot Certificate.

4. FAA CLASS 3 MEDICAL CERTIFICATE

A class 3 medical certificate is required to solo and also to exercise the privileges of a Private Pilot Certificate. Before you apply for your medical certificate, you and I will need to have a short discussion to go over some very important details. Please go to the FAA’s website here, read the information, and bring any questions you have to your next lesson.

5. CLUB MEMBERSHIP RENTAL DISCOUNT

If you have received and completed the “New Member Packet”, you’ve been asked to consider becoming a full member of Independence Aviation. If you have chosen to do so, great choice! For a small monthly fee (currently $45/month), you’ll get a $15/Hobbs-Hour discount on airplane rentals. With each flight lesson lasting an average of 1.5 Hobbs-Hours, flying twice a month will easily make up for the monthly fee.

6. RENTER’S INSURANCE – REQUIRED

IA carries a very generous insurance policy to cover many incidents. However, there is a $5,000 deductible for which you’ll be responsible if any incident occurs. While we cannot and do not endorse any particualr agency, many of our members have found that a policy from the Assured Partners is very reasonable.You can find a link to their renter’s insurance plans here.

Other Items To Consider

HEADSET

This is a very personal choice which I’ll have to leave up to you. At IA, we do have headsets available for rent. However, you’ll find it much easier and comfortable to purchase one of your own. There are many companies like Bose, Lightspeed, David Clark, Faro, and more producing excellent headsets for general aviation. Ask fellow pilots and other instructors to get an idea of what may work for you.
Just keep in mind that for some flights, you will be wearing the headset for more than 2 straight hours at a time. Get one that is comfortable.

LOGBOOK

The FAA requires you to maintain and present log of certain flying activities in order to earn a Private Pilot Certificate. Even after you earn your certificate, you must maintain a log of certain flights to prove that you are remaining current for certain activities, such as flying passengers.
The Sporty’s Deluxe kit mentioned in the list above (#1) comes with a cheap logbook. In my experience, logbooks like that tend to fall apart along the binding after only a couple of years. I recommend you invest in a more robust logbook such as one fromTrueNorth or Jeppesen..
